Introduction

This Cookie Policy explains how FreedomSeeker OÜ, operating under the SiteSync brand, uses cookies and similar technologies on the SiteSync public website and authenticated web application. It also explains how users can manage their choices and how SiteSync classifies cookies used for security, core functionality, analytics, and optional marketing activities.

1. Application

  • This Cookie Policy applies to the SiteSync public website available at sitesync.ai and www.sitesync.ai, including related redirects, and to the authenticated application available at app.sitesync.ai.
  • This policy is intended for all visitors and users of those services, including individuals in the European Union, the European Economic Area, the United Kingdom, and other jurisdictions where cookie transparency and consent requirements may apply.

2. What Are Cookies and Similar Technologies?

  • Cookies are small text files placed on a device when a user visits a website or uses an online service. Cookies may be session-based, meaning they are deleted when the browser is closed, or persistent, meaning they remain on the device until they expire or are manually deleted.
  • Similar technologies may include browser local storage, session storage, software development kit identifiers, pixels, diagnostic tags, and other technologies that store or access information on a user's device for comparable purposes. In this policy, the term cookies includes those similar technologies unless the context requires otherwise.
  • SiteSync also uses browser storage to operate the service, remember user interface preferences, maintain secure sessions, record cookie preferences, and support reliability and security features.

3. Does SiteSync Use Cookies?

Yes. SiteSync uses cookies and similar technologies for the following purposes: to provide secure access and core application functionality; to maintain sessions and protect the service; to remember language and other user-selected settings; to remember cookie choices made through the SiteSync cookie-consent interface; and, where permitted or based on the user's consent, to measure usage, performance, reliability, and the effectiveness of SiteSync's communications and advertising.

4. Categories of Cookies Used by SiteSync

4.1 Essential Cookies

Essential cookies and similar technologies are limited to those strictly necessary to provide a service explicitly requested by the user, maintain security, preserve authentication and session continuity, remember privacy choices, or enable communication over the network. SiteSync does not classify a technology as essential merely because it is useful, improves convenience, supports product insight, or benefits SiteSync operationally. Technologies classified as essential are always active because, without them, the relevant part of the service cannot function properly.

4.1.1 Security, authentication, and session continuity

These cookies and similar technologies are used to maintain secure user sessions, authenticate users, preserve session continuity across page loads and requests, support secure re-authentication, prevent abuse or duplicate actions, and protect the integrity and reliability of the service. SiteSync uses these technologies only to the extent necessary to provide the requested service or to meet applicable security obligations.

4.1.2 Functional settings integral to the requested service

These cookies and similar technologies store limited user-selected settings only where they are strictly necessary to deliver the specific functionality the user has requested in context. This may include storing a language or locale selection where the user has requested a localized version of the website or application and the setting is needed to deliver that requested experience consistently across pages or requests.

4.1.3 Consent-preference technologies

These cookies and similar technologies record a user's cookie choices, including whether analytics or marketing technologies were accepted, rejected, or configured through the SiteSync cookie settings interface. SiteSync uses them to remember and apply the user's privacy choices and to avoid repeatedly requesting the same choice during the applicable preference period.

4.2 Analytics Cookies

This category includes analytics and measurement technologies used to understand usage, traffic, engagement, product interaction, or performance trends, to the extent they are not strictly necessary for the service requested by the user. Examples may include Google Analytics, Datadog RUM, or similar tools when configured for analytics, audience measurement, or product-improvement purposes. Where required by applicable law, SiteSync requests consent before placing or activating these technologies.

4.3 Marketing Cookies

SiteSync may use marketing cookies and similar technologies to measure the effectiveness of its advertising and, where applicable, support ad attribution, remarketing, or audience-building activities on third-party platforms. Marketing cookies are optional and, where required by applicable law, are not activated unless and until the user has provided consent.

4.4 Preferences

Preferences technologies enable SiteSync to remember user-selected settings and display choices, such as interface layout, visible table columns, page size, region, theme, and similar customization options. These technologies enhance usability and continuity of experience, but they are generally not strictly necessary to provide the website or application using its default configuration. Accordingly, where required by applicable law, Preferences cookies and similar technologies are used only on the basis of the user's consent. If the user declines Preferences technologies, SiteSync will still provide the website or application, but certain settings and customizations selected by the user may not persist across sessions, devices, or visits.

Where a user elects to save settings to their SiteSync account, SiteSync may store those settings on its backend systems as part of the requested account functionality. Any separate storage of similar settings on the user's device remains governed by this Cookie Policy and, where required by law, depends on the user's cookie preferences.

5. Cookie Consent Interface

  • Where required by applicable law, SiteSync does not place, activate, access, or allow non-essential cookies or similar technologies to operate until the user has made a valid choice through the cookie-consent interface. Optional categories are off by default where prior consent is required, and users may reject non-essential categories as easily as they may accept them.
  • The cookie-consent interface explains that SiteSync uses strictly necessary cookies and similar technologies to operate the website and application and, where the user consents when required by law, also uses Preferences, Analytics, and Marketing cookies and similar technologies for the purposes described in this Cookie Policy.
  • Users can revisit and change their choices at any time by clicking "Manage Cookies" in the footer and, where applicable, in account or application settings. Updated choices apply on a going-forward basis.
  • To help demonstrate and maintain compliance, SiteSync may keep a record of a user's cookie choices, including the time of the choice, the categories accepted or rejected, and related consent-preference information, for an appropriate retention period consistent with legal, audit, and operational requirements.
  • Where SiteSync uses Google services such as Google Tag Manager, Google Analytics, or Google Ads, SiteSync implements Google Consent Mode to communicate the user's choices to those services. When a user makes a choice through the SiteSync cookie-consent interface, the corresponding consent signals — including analytics storage, advertising storage, ad user data, ad personalization, and preferences storage, as applicable — are transmitted to Google's infrastructure in accordance with the user's selections so that those Google services operate in line with the consent choices recorded through the SiteSync cookie-consent interface.

6. Legal Basis and Consent Approach

SiteSync distinguishes between (a) rules governing the storage of or access to information on a user's device under applicable cookie or ePrivacy laws, and (b) rules governing any subsequent processing of personal data under applicable data protection laws. For cookies and similar technologies that are strictly necessary to provide the service requested by the user, or that otherwise fall within an applicable exemption under local cookie laws, SiteSync does not rely on consent where the law permits their use without consent. For preferences, analytics, marketing, and other non-essential technologies, SiteSync relies on consent where required by applicable law and does not place, activate, or read those technologies before consent has been obtained in jurisdictions where prior consent is required. Where personal data are processed in connection with cookies or similar technologies, additional information, including the applicable lawful bases for that processing, is described in the SiteSync Privacy Policy.

7. Third-Party Technologies

  • SiteSync uses certain third-party service providers that may set or access cookies or similar technologies on SiteSync domains in order to provide services requested by SiteSync, including analytics, diagnostics, advertising measurement, hosting, security, and related technical operations. SiteSync identifies those providers and the relevant technologies in the inventory below to the extent they are in use as of the Effective Date.
  • Depending on the service and configuration, a third party receiving information collected through cookies or similar technologies may process that information on SiteSync's behalf as a processor, or may process it for its own purposes as an independent controller or, where applicable, as a joint controller. Where a third party acts in its own controller capacity, that provider's own privacy and cookie documentation may also apply to the information it receives.
  • Where required by applicable law, SiteSync does not permit non-essential third-party cookies or similar technologies to be placed, activated, or read until the user has provided the relevant consent through SiteSync's cookie settings interface. SiteSync also seeks to ensure that any third-party technologies used on its services are reviewed periodically and reflected in the inventory below when newly introduced or when their purposes materially change.
  • Additional information about relevant vendors, subprocessors, and trust materials may be made available through SiteSync's Trust Center.

8. Cookie and Similar Technologies Inventory

The inventory below reflects the cookies and similar technologies that SiteSync uses on the relevant SiteSync domains as of the Effective Date. For each listed item, SiteSync aims to identify the provider, purpose, category, domain, and expected duration or retention period. SiteSync reviews this inventory periodically and updates it where new non-essential technologies are introduced, where existing technologies are removed, or where purposes or classifications materially change. The inventory is intended to help users understand which technologies are used and why. In some cases, a listed technology may operate only on particular SiteSync properties, only for authenticated users, or only where the relevant optional category has been enabled through the cookie settings interface.

  • Cookie access-token (SiteSync, app.sitesync.ai): Maintains authenticated access to the web application. Category: Essential – Security. Duration: 7 days.
  • Cookie refresh-token (SiteSync, app.sitesync.ai): Maintains session continuity and secure re-authentication. Category: Essential – Security. Duration: 30 days.
  • Cookie NEXT_LOCALE / Next-Intl (SiteSync, www.sitesync.ai; app.sitesync.ai): Stores the language or locale explicitly requested by the user. Category: Essential – Functional settings. Duration: Session.
  • Cookie sidebar_state (SiteSync, app.sitesync.ai): Remembers whether the sidebar is expanded or collapsed. Category: Preferences. Duration: 7 days.
  • Cookie Cookie-consent (SiteSync, www.sitesync.ai; app.sitesync.ai): Records cookie choices so the notice is respected. Category: Essential – Consent-preference. Duration: 6 months.
  • Cookie _ga (Google Analytics, www.sitesync.ai; app.sitesync.ai): Distinguishes users and generates usage statistics. Category: Analytics. Duration: Up to 2 years.
  • Cookie _ga_<container-id> (Google Analytics 4): Persists session and measurement state for GA4 reporting. Category: Analytics. Domain: www.sitesync.ai; app.sitesync.ai. Duration: Up to 2 years.
  • Cookie _gid (Google Analytics, www.sitesync.ai; app.sitesync.ai): Distinguishes users for short-term traffic analytics. Category: Analytics. Duration: 24 hours.
  • Cookie _dd_s (Datadog, www.sitesync.ai; app.sitesync.ai): Supports monitoring, diagnostics, and measurement of service performance and user interactions. Category: Analytics. Duration: Session.
  • Cookie _gcl_au (Google Ads, www.sitesync.ai; app.sitesync.ai): Stores conversion information to help measure the effectiveness of Google Ads campaigns and attribute conversions. Category: Marketing. Duration: 90 days.

8.1 Local Storage Keys (Inventory)

Local storage and related keys used on app.sitesync.ai (and where noted, www.sitesync.ai):

  • default-page-size (SiteSync): Stores default page size preference for tables. Category: Preferences. Duration: Until sign-out or manual deletion.
  • dt-columns-{tableName} (SiteSync): Stores table column visibility and ordering preferences. Category: Preferences. Duration: Until sign-out or manual deletion.
  • dt-archived-{tableName} (SiteSync): Stores whether archived items should be shown. Category: Preferences. Duration: Until sign-out or manual deletion.
  • mutation-btn-block:{blockKey or url} (SiteSync): Temporarily prevents repeated actions and duplicate submissions. Category: Essential – Security. Duration: Up to 1 minute.
  • auth-storage (SiteSync): Stores authenticated session state and app configuration. Category: Essential – Session continuity. Duration: Until sign-out or manual deletion.
  • notifications-storage (SiteSync): Preserves in-app notification state needed to present, suppress, or dismiss notifications correctly. Category: Essential – Functional settings. Duration: Until sign-out or manual deletion.
  • theme (SiteSync, www.sitesync.ai; app.sitesync.ai): Stores the user's selected interface theme. Category: Preferences. Duration: Until sign-out or manual deletion.
  • chat-message-drafts (SiteSync): Stores unsent chat drafts locally so they can be restored during the user's use of the feature. Category: Essential – Functional settings. Duration: Until sign-out or manual deletion.
  • device-id (SiteSync): Supports secure linking of local app state to the browser instance. Category: Essential – Security. Duration: Until sign-out or manual deletion.

9. Browser and Device Controls

  • In addition to the cookie settings made available by SiteSync, users may be able to control cookies and similar technologies through their browser or device settings. Most browsers allow users to review, block, or delete cookies, and some browsers and devices also allow users to clear site data, restrict local storage, or manage related privacy settings.
  • Because browser and device controls vary, users should consult the documentation provided by their browser or device provider for details on available options and how those options operate.
  • Blocking or deleting cookies through browser or device settings may affect the functionality of the website or application. In particular, disabling technologies used for authentication, security, session continuity, or other core service functions may cause some features not to operate properly.
  • Browser and device controls may not always remove all local storage, SDK identifiers, or similar technologies, and additional steps may be required depending on the relevant browser, device, or application environment.

10. International Transfers

  • Some providers whose cookies or similar technologies are used by SiteSync may process personal data outside the European Union, European Economic Area, or United Kingdom, including in the United States. Where such transfers occur and a transfer mechanism is required under applicable data protection law, SiteSync relies on an appropriate lawful transfer mechanism, which may include an adequacy decision, standard contractual clauses, participation in a recognized transfer framework where applicable, and supplementary measures where appropriate.
  • Where information collected through cookies or similar technologies is processed by a third-party provider acting in its own controller capacity, that provider may also apply its own transfer mechanisms as described in its privacy documentation.
  • Where SiteSync makes vendor, subprocessor, or related trust materials available through its Trust Center, users or customers may subscribe to change notifications for those materials.

11. Changes to This Cookie Policy

SiteSync may update this Cookie Policy from time to time to reflect changes in legal requirements, regulatory expectations, SiteSync services, or the cookies and similar technologies used on its websites or application. When SiteSync makes material changes, it will update the Effective Date and publish the revised version on the relevant legal-policy page. Where required by applicable law, SiteSync will also refresh or re-request consent before using newly introduced non-essential technologies or before relying on consent for materially changed purposes. To support this, SiteSync records a policy version identifier within the cookie-consent preference stored on the user's device. If the stored version does not match the current version of this Cookie Policy, the cookie-consent interface will be re-presented to the user so they can review the changes and confirm or update their choices before any non-essential technologies are reactivated.
